Question
Student and Teacher Upload Instructions

Answer

For Schools or Organizations with 50 or More Students

The following Excel file should be downloaded in order to learn which data fields Let's Go Learn requires to set up student and teacher data for schools or other learning organizations with 50 or more students. This Excel file will guide you or your IT department in preparing student and/or teacher data for export.

See Attachment at bottom of page

Step One:  Collect the required information on each teacher and student:

TEACHER INFORMATION REQUIRED:
  Teacher first name
  Teacher last name
  Teacher email address

STUDENT INFORMATION REQUIRED:
  Student first name
  Student last name
  Grade
  Date of birth
  Student ID number
Teacher's email address (i.e. homeroom teacher email, math teacher email, or ELA teacher email, etc.)

*If a student needs to be added to more than one teacher account, you can add additional columns on the Student Template in column after the "TeacherEmail".  You can name them: "TeacherEmail2", "TeacherEmail3", etc.

Step Two:  Paste the information into the Excel template:

Download the attached Excel file attached below.  This Excel has multiple worksheets (tabs): One for the teacher list and one for the student list.
PLEASE NOTE: Most student information systems have a feature to export out class or school lists that can then be imported into Excel.

Step Three:  Upload the file securely to us:

Please be sure to fill out the fields under "Customer Entered Fields" after adding the file.

When you bring additional fields into a conversion, Quickbase often finds inconsistencies. For example, say you're converting your Companies column into its own table. One company, Acme Corporation, has offices in New York, Dallas and Portland. So, when you add the City column to the conversion, Quickbase finds three different locations for Acme. A single value in the column you're converting can only match one value in any additional field. Quickbase needs you to clean up the extra cities before it can create your new table. To do so, you have one of two choices:

  • If you want to create three separate Acme records (Acme-New York, Acme-Dallas and Acme-Portland) click the Conform link at the top of the column.
  • If the dissimilar entries are mistakes (say Acme only has one office in New York and the other locations are data-entry errors) go back into your table and correct the inconsistencies—in this case, changing all locations to New York. Then try the conversion again.
